Senior Project Manager

In addition to the requirements of Project Manager, the ideal candidate for Senior Project Manager has the following skills, experience, and traits:

 

  • 5 years experience in Project Management and or Engineering preferred.

  • Ability to effectively manage projects in the range of 10-50M.

  • Ability to manage a project while overseeing junior project managers.

  • Willingness to train and develop others.

  • Engineering or PM experience in automotive, MHE, or construction.

  • Mechanically inclined.

  • Competent in MS Project & MS Office. 

  • Familiarity with AutoCAD, Navisworks, Inventor.

  • Competent in reading and understanding engineered drawings.

  • Skilled in identifying, approaching, presenting and building relationships with decision makers within a complex project environment. Must be comfortable with all levels from field craft to executives.

 

The Senior Project Manager is looked upon as a leader within the organization, he or she understands the big picture and aligns engineering, fabrication & installation to a common goal. This individual has a proven track record in successfully completing complex engineering and construction projects, and has a desire to train and develop others. 

 

PROJECT MANAGER

 

 

The Project Manager (PM) is responsible for the organization of all project related activities and communications that will ensure the successful execution of the project. The PM takes the project from sales through development and into execution. 

 

Key Responsibilities

  1. Receive and understand all project requirements and documentation from the Sales department during the kickoff meeting.

    1. Assume day-to-day control and responsibility for the project once the hand off has been made in the kickoff meeting.

    2. Review and understand all bid documents, addendums and customer requests, and then summarize and disseminate the documents to the team.

  2. Understand SSI’s contractual requirements for project and establish responsibilities/goals for each member of the project team, internal and external to SSI.

    1. Ensure that both SSI and the customer are adhering to the contracted scope of work, to ensure against scope deviation.

    2. Document, and immediately communicate to Sales, any deviation from the scope of work that may require commercial change order discussions with the customer.

    3. Verify project material needs and purchase (Purchasing Department) equipment accordingly.

  3. Be the chief conduit for communication and coordination with the customer, other teams within SSI (Estimating, Sales, Engineering, Fabrication, Field Operations, etc.) and third parties involved in the project execution (sub-contractors, material suppliers, etc.).

    1. Report project status on a regular basis to Key Stakeholders.

    2. Organize and lead project meetings with all applicable parties.

    3. Lead regular status update meetings, to ensure the team is meeting schedule.

    4. Proactive in all planning aspects, while anticipating potential risks, to allow time to overcome, mitigate and communicate changes.

  4. Develop the overall schedule for the project and drive the project team to meet, or exceed, it.

    1. Gather data from project team members for input in the schedule.

    2. Continually monitor and maintain the project schedule, ensuring that all milestone dates are met.

    3. Develop schedules utilizing MS Project & Smartsheet software

  5. Work with Finance to create the project budget, develop invoicing schedule and accurately forecast costs, to maintain adequate cash flow.

    1. Working with Finance, develop and issue invoices to the customer.

      1. Update budget and payment schedule commensurate with any changes in scope or contract.

    2. Ensure timely invoicing to the customer and payment, per payment terms.

    3. Ensure that all departments are making an accurate recording of costs, including hours, expenses and stock transfers.

 

  1. Manage all aspects of subcontracting related to field installation.

    1. Develop detailed scope of work documents for each subcontract classification and issue.  Issue “Requests for Proposal” to vendors and sub-contractors, to set expectations from suppliers.

    2. Review subcontract proposals for accuracy and completeness.  Negotiate the best value price for SSI, while adhering to the established budget constraints.

    3. Work with Purchasing to issue Purchase Orders and sub-contracts, necessary to execute the project scope.

    4. Monitor and facilitate subcontractor schedules, progress and periodic reviews, to ensure schedule and scope compliance.

    5. Manage, negotiate and track all contractual change orders with subcontractors.

    6. Analyze and approve invoices from vendors and sub-contractors. 

    7. Ensure scope of work has been completed to SSI’s satisfaction, before release of final payment.

  2. Work with the installation department to manage and achieve all aspects of installation schedule, including labor allocations, shipments to the site, subcontractor schedules and customer expectations.

    1. Monitor fabrication progress and proactively ensure material deliveries to the site are correct and on time. 

    2. Ensure that Engineering delivers all required installation drawings and drawing updates to the field in a timely fashion.

    3. Continually coordinate with the customer to ensure that their contractual obligations are met in a timely manner, ensuring the installation plan is not delayed.

    4. Monitor field installation daily progress reports to guard against schedule slip and opportunities for pull-ahead work.

    5. Maintain an accurate “Non-Compliance” log, noting responsibility and total hours attributed to the issue.

  3. Travel to the Project site on a regular basis to evaluate progress, resolve any site issues, provide support to on-site personnel and communicate with the customer.

  4. Ensure contract closeout procedures are followed, by obtaining written acknowledgment from the customer that all deliverables have been transmitted, punch list items have been resolved and final payments have been received.

    1. Issue a closeout letter to customer reiterating that the project has been closed on an agreed date, with notice that the agreed warranty period has begun.

  5. Work with all SSI departments to resolve and satisfy any warranty claims.

  6. Schedule and lead a project review meeting, within (1) month of completion, with all department heads. Provided the PM will have analyzed the project’s performance, lead a discussion to identify areas of success and areas for future improvement.

  7. Additional PM duties as assigned.
